Job Overview:

Location: Jacksonville, FL

Summary/Objective 

The office coordinator position is responsible for filing and scheduling, coordination of meetings and conferences, obtaining supplies and working on special projects. Also, answers non-routine correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload, for overall front office activities, including the reception area and facilities.

Reports to: Business Operations Manager

Essential Functions

+ Manages the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image.
+ Assists with word processing, filing and archiving.
+ Makes travel arrangements and assists with event planning and coordination.
+ Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities.
+ Negotiates the purchase of office supplies and furniture, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions.
+ Supervises the maintenance of office equipment, including copier, fax machine, etc.
+ Responsible for the facilities day-to-day operations (such as distributing building access keys and back-up to security access cards, etc.)
+ Participates as needed in special department projects.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.

This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.

Travel

This position requires occasional local area and overnight travel.  

Required Education and Experience

+ 3+ years in a corporate/professional environment in an Administrative role
+ Strong verbal and written communication skills (grammar/proofreading)
+ Proficient in MS Office Suite; highly proficient in Excel, Word, and Outlook
+ Professional, organized, client-oriented, and deadline driven
+ Able to anticipate needs and manage multiple competing priorities
+ Positive team player with commitment to quality
+ Self-starter who can thrive in an environment where leaders often travel off site serving clients
+ Good human relations and effective oral and written communication skills.
+ Good organizational skills.
+ Solid clerical expertise.
